Student ID Numbers

Engrade recognizes individual students by ID numbers. In order for students and parents to access grades properly, students must be created with the correct, unique ID number. All students should be entered into Engrade with their assigned school ID number to ensure all teachers within the school are using the same ID number for each student.

 

Will Engrade create my student IDs?

If you are not connected to a school and attempting to add students to a class roster, you will be asked to provide the student's first name, last name and ID number. If you do not provide an ID number following the student's first and last name, Engrade will automatically generate a random ID number for each student.

If you are connected to a school and attempting to add students to your class roster that are not listed on the school's roster, you must provide a unique student ID number for each student you add.

 

Same ID Number Used by Multiple Students

If students are viewing other classes in which they are not enrolled, that indicates that two different students have the same ID number. Students should not be given the same ID number as different students in your other classes. All students must have unique ID numbers.

For example, if Jane Doe is assigned the student ID "4511" and William Johnson is assigned the student ID "4511," Engrade will recognize those two different students as one individual because they share the same ID number. In this case, Jane would see William's classes in her student account and William would see Jane's classes in his student account.

If you have two or more students sharing the same ID number, you must change your students' ID numbers to unique IDs by following these steps:

  1. Select the name of the class for which you would like to change student ID numbers.

  2. Select Students in the left sidebar.

  3. Hover over the gear icon to the right of the student's name whose ID number you would like to change, and select Edit from the drop-down menu.

  4. In the pop-up window, enter a unique ID number for the selected student in the Student ID field. Ensure that the ID number you have selected has not been used by any other students in your classes before clicking the "Edit Student" button to save your changes.

  5. Repeat Steps #1-4 for all students whose ID numbers need to be changed.


PLEASE NOTE: If you change a student's ID number to an ID number that already exists, this will merge those two students into one student. Merging a student is an irreversible process so be sure you are carefully selecting ID numbers when performing this process.

 

Multiple ID Numbers Used by One Student

When a student has been assigned more than one ID number, they will appear on Engrade as multiple students (with the same name). This can result in the student being unable to see all of his/her classes when s/he logs into his/her Engrade student account, the student appearing more than once on the student list, trouble when printing student reports, and an incorrect total number of students (when connected to a school).

For example, if Jane Doe is assigned the student ID "4511" and "9511," Jane will appear on the class roster twice. Engrade will recognize this one individual as two different students because she has multiple ID numbers. In this case, Jane might not be able to see all of her class grades if she is enrolled in some classes as her "4511" version and other classes as her "9511" version.

To fix this problem, choose one ID number for the student and follow steps 1 - 4. Replace the student ID with the chosen number. Note that changing this student's ID will automatically change their Access Code. If this student has already registered for Engrade, their account will be automatically updated with the new access code(s).

If you have a student that has duplicate versions of him/herself with different ID numbers, you must change the student's ID number to one unique ID by following these steps:

  1. Select the name of the class for which you would like to change student ID numbers.

  2. Select Students in the left sidebar.

  3. Hover over the gear icon to the right of the student's name whose ID number you would like to change, and select Edit from the drop-down menu.

  4. In the pop-up window, enter a unique ID number for the selected student in the Student ID field. Ensure that the ID number you have selected is either:
         a) a unique ID that has not been used by any other students in your classes, or
         b) one of the ID numbers used by the student's duplicate ID number.

    For example, if I wanted to correct Jane Doe's duplicate accounts, I could perform one of the following methods:
         a) I could change the "4511" version of Jane to a unique student ID number ("5951"). Then, I could change the "9511" version of Jane to that same unique student ID number ("5951"). This would merge the two versions of Jane into one student with the ID "5951."
         b) I could change the "4511" version of Jane to her existing duplicate ID number "9511." This would merge the two versions of Jane into one student with the ID "9511."

  5. Click the Edit Student button to save your changes.

  6. Repeat Steps #1-5 for all version of the student whose ID numbers need to be changed.
