Engrade Messaging

Engrade's messaging feature works like an internal email system to send private messages between approved users. The following types of users can message each other:

  • Administrators can message any account linked to the school.
  • Teachers can message any account linked to their classes.
  • Students can message their teachers if allowed in the class settings.
  • Students can message other students in a class if allowed in the class settings.
  • Parents can message teachers if allowed in the class settings.

 

Engrade Message Notifications

Engrade messages are not sent as emails to personal email addresses. All messages are sent and received exclusively within Engrade. However, if you would like to be notified via email when you receive a new Engrade message, you can enable that option in your account settings.

  1. Hover over Account on the top blue bar and select Edit Account from the drop-down menu.

  2. On the Edit Account page, review your email address for correctness in the Email field. Make any necessary changes by typing directly in the box.

  3. Check or uncheck the box to the left of Email me when I get a new Engrade message to enable/disable email notifications for Engrade messages.

  4. Enter your password in the Current Password field, and click the Submit button to save your changes.

 

Read and Reply to Messages

If you have new messages, and blue indicator will display the number of unread messages next to Messages on the top blue bar.

  1. Select Messages on the top blue bar.

  2. In your Inbox, you will see a list of all the messages you have received. Messages are sorted by date, with the newest messages appearing at the top of the list. Click directly on the subject of the message to open it.

  3. On this page, you will see who sent you the message, when the message was sent and the message’s content.

  4. Once you have read a message, you can reply to it by typing your response in the text box.

  5. You can attach a file (if desired) by selecting it from the drop-down.

  6. Click the Reply button to send your reply.

 

Send New Messages

Instead of replying to a message, you can send a new Engrade message from within your Inbox.

  1. Select Messages on the top blue bar.

  2. Click Send on the left sidebar to compose a new message.

  3. In the To field, type the username of the person to whom you would like to send a message. If you do not know your recipient’s username, type his/her name in the To field, and his/her Engrade username should appear in the drop-down menu.

  4. If you would like to message multiple people, repeat the previous step until all of the people who you would like to message are listed in the To field.

  5. In the Subject field, enter the subject of your message.

  6. If you would like, you can attach a file, wiki or set of flashcards to your message by selecting the item from the Attach drop-down menu.

  7. In the Message field, enter the message you would like to send to the selected user(s).

  8. When you are ready to send the message, click the Send Message button.

 

View and Send Messages to Contacts

Contact information for teachers, administrators, students, and parents is stored in Engrade in the Contacts section. You can send messages to individuals or groups directly from the Contacts page. The names of users are broken down into Staff and Students. Parents are listed under students with a [P] after their child’s name.

  1. Select Messages on the top blue bar.

  2. Click Contacts on the left sidebar to view your available contacts.

  3. Click on the name of the user(s) you would like to message. Alternatively, you can click the group title to message all users who belong to that group. A green checkmark will appear next to the names of the users and/or groups whom you have selected.

  4. When you have finished making your recipient selections, click the Send Message button.

  5. In the Subject field, enter the subject of your message.

  6. If you would like, you can attach a file, wiki or set of flashcards to your message by selecting the item from the Attach drop-down menu.

  7. In the Message field, enter the message you would like to send to the selected user(s).

  8. When you are ready to send the message, click the Send Message button.

 

Archive or Trash Messages

Archive Messages

Archiving stores the message in the Archive folder. Archiving is intended for messages that you would like to save but do not need to be accessed from your main Inbox page.

  1. Select Messages on the top blue bar.

  2. In your Inbox, you will see a list of all the messages you have received. Select Archive to the right of message's subject. This will move the message to the Archive folder.

  3. You can view messages in the Archive folder by selecting Archive on the left sidebar of your Inbox.

  4. Within the Archive folder, click Inbox to the right of the message's subject. This will move the message back to the Inbox.

Trash Messages

Trashing moves the message to the Trash folder. Trashing is intended for messages that you would like to permanently delete from your Inbox.

  1. Select Messages on the top blue bar.

  2. In your Inbox, you will see a list of all the messages you have received. Select Trash to the right of message's subject. This will move the message to the Trash folder.

  3. You can view messages in the Trash folder by selecting Trash on the left sidebar of your Inbox.

  4. Within the Trash folder, you can permanently delete a message by clicking the red x to the right of the message's subject.

  5. Alternatively, you can click Inbox to the right of the message's subject to move the message back to the Inbox.

 

View Sent Messages

Engrade will save copies of messages that you send through Engrade messaging. You can view messages that you have sent to other Engrade users through the Sent folder.

  1. Select Messages on the top blue bar.

  2. Click Sent on the left sidebar to view your sent messages.


Please note: Sent messages may not be archived, trashed or deleted.

 

Enable/Disable Messaging for Students and Parents

  1. Select Classes on the top blue bar.

  2. Select the name of the class for which you would like to adjust messaging settings.

  3. Select Settings in the left sidebar.

  4. On the Basic Settings tab, scroll down to the series of check boxes near the bottom of the page:

    Allow students to message teachers: Check the box to let students send Engrade messages to teachers from student accounts. If it is unchecked, students will not be able to send messages.
    Please note: If you have this option unchecked for one class, but not another class, a student in both classes will still be able to message you.

    Allow students to message each other: Check the box to let students send other students messages through their Engrade student accounts. If this box is unchecked, students will not be able to message other students in the class.

  5. Check or uncheck the messaging settings as desired.

  6. Click the Submit button to save your changes.
